Executive Assistant

ACM is a specialist music education provider with approximately 2,200 students on a range of FE and HE programmes in Music Performance, Creative Artist, Production, Technical Services and Business. The Executive Assistant is required to provide organisational, project and administrative support to the Executive Chairman and Deputy Vice Chancellor covering a wide range of activities within a busy and complex working environment. This is a full time role based in ACM Head Office in Guildford, Surrey with occasional travel nationally. The role is a busy, faced paced position allowing the post holder to experience a wider range of tasks involved in Education management at an executive level. 

Salary will be determined based on experience


  • Responsibility for the management of the Executive Chairman’s diaries to ensure efficient time management and space usage
  • Manage, coordinate and arrange travel arrangements, with cost comparisons, to include international travel, hotel bookings, transport and complex itineraries on behalf of the Executive Chairman
  • Draft meeting agendas, take minutes and distribute minutes of regular weekly, ad hoc and board level meetings and storing digital documents appropriately
  • Provide project assistant support in the monitoring and management of progress on projects as directed
  • Use appropriate office management tools to support projects allowing for appropriate and regular oversight (e.g. Google docs, MsOffice)
  • Draft reports/documents and presentations to the appropriate level at (sometimes) short notice
  • Compiling disparate documents into one indexed, numbered final document
  • Scanning, filing, organisation of data, redacting information as required 
  • Coordinate and ensure timely approval of purchase orders where Executive authorisation is required

Essential Skills and Experience

  • Proven experience of PA support at Director/Executive level
  • Comfortable working under pressure with the need to continuously re-prioritise a diverse and sometimes heavy workload; a high level of attention to detail is crucial
  • Experience of project management administration, keeping to schedule and managing stakeholders
  • Practised in taking and writing minutes, summarising discussions and writing both informal and formal reports
  • Proficient to advanced level in Microsoft Office and Google Docs with exceptional accuracy and attention to detail
  • Outstanding organisational skills with the ability to work using own initiative whilst being able to manage changing priorities
  • Highly developed interpersonal and communication skills with the ability to handle confidential information with discretion

Other requirements

  • Car driver with clean driving license, national travel may be required
  • Working hours may vary and an 8.00am start would be useful to the post holder
  • Some evening and weekend work required
