Assessment Officer – ACM Guildford

The Registry team are responsible for the administration of student and programme information and the processes that drive a student from initial entry to the achievement of their award. This team operates at group level, within the wider Quality Assurance department, across a number of campuses and plays a key role in the overall management of assessment processes which lead to a student obtaining their award.

Working within a team of Assessment Officers within the Registry team at ACM’s main Guildford campus, the Assessment Officer will be required to support the Data Registrar in the management of the assessment processes, in order to ensure accuracy of records, effective management of assessment periods and the timely release of results to students. The Assessment Officer will liaise closely with staff from across the institution regarding mark entry and assessment outcomes, in order to ensure the data presented to Assessment Boards and to students is accurate.

MAIN RESPONSIBILTIES

  • To administer and provide administrative support to the Student Progression and Achievement Board each trimester.
  • To administer and provide administrative support for the release of assessment results to students.
  • To deal accurately, courteously and promptly with queries relating to assessment and to provide advice and guidance to staff and students with regards to the Awarding University(s) assessment regulations and procedures.
  • To provide administrative support to the creation of performance assessment/examination schedules.
  • To provide administrative support to the operation of examinations and video assessments in liaison with the Campus Programme Manager.
  • To provide administrative support in arranging first marking allocation and assessment marker packs for tutors.
  • To administer and provide administrative support to the extenuating circumstances process.
  • To administer and provide administrative support for the arrangement of sessional payment invoicing for tutors for marking.
  • To ensure accurate maintenance of ACM’s mark entry system, dealing with any queries and providing support and training to staff members.
  • To ensure assessment records are accurately maintained on the Student Records System, including but not limited to amendments resulting from decisions made by assessment boards, academic misconduct panels and academic appeals boards.
  • To provide administrative support in preparing and collating Sample Marking for External Examiners through Canvas VLE.
  • To work with fellow ACM Quality and Registry staff in the development of Management Information Dashboards to support the monitoring of student achievement.
  • To liaise with the Student Engagement Manager regarding students who are at-risk as a result of failed or outstanding assessments.
  • To raise the profile of assessment procedures across ACM, including undertaking staff briefing sessions across all sites, and regular communication and circulation of student assessment-related information.
  • To act as a Committee Secretary as required by the Head of Quality and Student Experience, organising agendas and papers for meetings, writing minutes and reports, and advising members as required on points of regulation and/or procedure.
  • To deal with student queries and requests on an ad hoc basis.
  • To understand ACM’s mission, aim and values and ensure that all communication to staff and students and everyday working practice reflects this.

An undergraduate qualification or relevant professional qualification or evidence of continuous training and development.X

This job purpose reflects the core activities of the post. As the Department and the post-holder develop, there will inevitably be some changes to the duties for which the post is responsible, and possibly to the emphasis of the post itself. ACM expects that the post-holder will recognise this and will adopt a flexible approach to work.  This could include undertaking relevant training where necessary.  Should significant changes to the job purpose become necessary, the post-holder will be consulted and the changes reflected in a revised job purpose.
