Admissions Officer – ACM Guildford

Role:                                             Admissions Officer

Purpose:                                      The Admissions Officer is responsible for the receipt and processing of student applications for students applying for all ACM courses.

Working closely with academic staff across ACM, liaising with directly with applicants, you will process applications and, where relevant, arrange audition and interview days, co-ordinate the registration of new students and assist with activities relating to recruitment and admissions. You will provide a professional, flexible administrative service and excellent customer care for prospective applicants from the point of initial enquiry through to enrolment.

Receiving and responding to Admissions group email and applications for admission, keeping associated files and records up to date and ensuring they are processed within ACM, UCAS, and awarding body regulations and timeframes.

  • Recording and checking of applications and inputting decisions onto relevant systems such as UCAS.
  • Processing of entry conditions both UK and NON-UK grades
  • Processing of APEL and RPL Application in accordance to the Validating University regulations
  • Processing of the RPA forms for those who are not applying through UCAS
  • Producing a clearing schedule and training and processing all clearing applications
  • Maintaining contact with applicants, ensuring that they receive the best service and are informed of decisions in a timely manner; following up responses to decisions and conditional offers.
  • Conduct a Pre-Assessment of all Higher Education applications, arranging admissions appointments including ensuring applicants are invited to auditions / interviews in good time.
  • Liaising with stakeholders to ensure that target recruitment is achieved and that admissions policies are upheld and all admissions processes are fair and transparent.
  • Contributing to the development of MIS admissions systems (Insight) and other admission processes and procedures.
  • Working closely with the events and Applicant Advisor team to advise, co-ordinate and attend UCAS, school liaison and student recruitment events and activities (where needed)
  • Completing confirmation reports for validating institutions for the student finances to be released.
  • Assist with the planning and co-ordinating of ACM’s student induction across all campuses
  • Producing good quality management information to enable the registry department to meet its student data reporting obligations internally and to government, university and FE partners and other external bodies.
  • Ensuring information on ACM’s programmes of study is accurate and kept up to date on internal and external listings e.g. UCAS/ACM Website/Insight.
  • Contributing information and updates to ACM’s admissions sections of the website.


  • To assist with the delivery of ACM Open Days, Induction, Graduation and Awards (where needed)
  • To provide excellent customer service to all non-academic welfare enquires from prospective and current students, parents, and external bodies.
  • To undertake other duties as may be reasonably requested.
  • The postholder is required to familiarise themselves with all ACM and Partner Institutions policies and procedures and to comply with these at all times.
  • The postholder must maintain the confidentiality of information about students, staff and any other personal information and meet the requirements of GDPR

This job purpose reflects the core activities of the post. As the Department and the post-holder develop, there will inevitably be some changes to the duties for which the post is responsible, and possibly to the emphasis of the post itself. ACM expects that the post-holder will recognise this and will adopt a flexible approach to work.  This could include undertaking relevant training where necessary.  Should significant changes to the job purpose become necessary, the post-holder will be consulted and the changes reflected in a revised job purpose.

Person Specification


  • Educated to GCSE level or equivalent qualification or experience including English Language and Mathematics.


  • Proven record of working in a busy administrative environment, in an admissions or educational context would be beneficial.
  • Experience working in a data-sensitive, customer-focused environment.
  • Experience interpreting and giving advice on complex policies and regulations.
  • Understanding of FE/HE application processes and Education admissions.

  • The successful candidate will be committed to working in a flexible, team-based role with a good understanding of the importance of exceptional customer service.
  • Candidates should be able to evidence excellent organisational skills and highly developed administrative skills.
  • First class interpersonal skills, written and verbal communication skills and the ability to work effectively as a member of a team are also essential.
  • Ability to work well in a team to agreed targets exercising discretion and maintaining confidentiality
